Office Coordinator – Bilingual English/Spanish Required

Location: Houston, TX

Summary
The Office Coordinator provides office support by performing various tasks and services for the Office Director and the HR department. This entry level position collaborates with various management levels on projects contributing to the team's success. This role uses discipline-specific knowledge, skills, and abilities to assist with multiple projects, presentations, and business improvement opportunities. This fast-paced position ensures the team's day-to-day operations run efficiently and effectively.

Duties and Responsibilities

  • Primary duties:
    • Greeting guests and customers by greeting them in person or on the telephone and answering or directing inquiries.
    • Maintains office supplies inventory by checking stock to determine inventory level; anticipating needed supplies; evaluating new office products; placing and expediting orders for supplies; verifying receipt of supplies.
    • Oversees office cleanliness, directing cleaning staff and monitoring break areas for cleanliness.
    • Performs Employee Orientations.
    • Performs customer service by answering phone calls with employee requests and questions.
    • Scan documents into appropriate employee files.
    • Distribute PPE to field Superintendents.
  • New Hire Responsibilities:
    • Process hourly new hires; set up new hires in HRIS, and complete all documentation.
    • Ensure all I-9 information for all Kent Companies Houston Texas Employees is handled with the utmost confidentiality.
    • Prepare New Hire Orientation packets.
    • Explains Benefits packets to new hires.
    • Overseeing workspace assignments and upkeep of the overall office aesthetics.
    • Responsible for distribution of company property/technology, including paperwork.
    • Responsible for ensuring mail is checked throughout the day.
    • Responsible for assisting the Office Director as needed and requested.

Required Experience, Education, and Qualifications

  • Proficient with Microsoft Office Suite, HRIS, and other various software platforms
  • Must have experience handling I-9 Forms.
  • Excellent communication skills, with a focus on administrative writing
  • Ability to manage multiple priorities and assess appropriate priority levels
  • Task-driven and detail-oriented, and able to stay on task and follow through
  • Possesses strategic coordination, planning, and organization skills
  • Excellent interpersonal skills with the ability to manage sensitive and confidential situations with tact, professionalism, and diplomacy
  • Thrives in a fast-paced work environment and has the ability to learn new skills quickly.
  • Must have reliable transportation to the workplace(s)/ job location(s).
  • Ability to pass drug screening.
  • Must be able to work in the United States without corporate sponsorship now and in the future.
  • Bilingual (English/Spanish)

Preferred education and experience

  • Customer service.
  • Front desk receptionist.
  • Experience working at a construction company in a similar role is a plus.

Work Environment/Physical Demand
This position works in an office environment, requiring extended periods of sitting.

Position type, travel, and expected hours of work

  • This is a full-time office position.
  • Occasional day and overnight travel is required.
  • Typical hours will range from 45-50 hours per week and are subject to change. Due to the critical nature of the role, accepting phone calls even during nontypical workdays and hours is also necessary.
