Accounts Payable Specialist

Location: Lewisville, TX

Summary
The Accounts Payable Specialist plays a crucial role in processing invoices accurately and efficiently. They are responsible for verifying, coding, and processing invoices to ensure adherence to established policies and procedures while maintaining clear communication with vendors to resolve discrepancies and ensure timely payments. The role will monitor and process all credit card transactions and train office and field staff on uploading and coding credit card transactions. This role will also reconcile vendor statements, enter data into the ERP system, and work with team members to ensure month-end procedures are completed timely.

Duties and Responsibilities

  • Monitor the Accounts payable email inbox and record the incoming invoices.
  • Code invoices and ensure they are approved according to company policies and procedures.
  • Validate that all invoices received for a respective period have been entered and/or accounted for.
  • Maintain internal and external relationships with vendors and employees, including solving issues and discrepancies.
  • Respond to all vendor inquiries.
  • Monthly Vendor statement reconciliation
  • Pull documentation for all internal and external audits
  • Vendor Maintenance
  • Manage Credit Card Transactions and train office and field staff on how to code and upload receipts into Expense Track properly.

Required Experience, Education, and Qualifications

  • High School Diploma or Equivalent
  • Bilingual - Fluent in Spanish and English
  • Minimum two (2) years of Accounts Payable experience
  • Effective time management and organizational skills with high attention to detail.
  • Must be able to complete tasks accurately and timely.
  • Must be a team player and have a positive attitude toward coworkers
  • Excellent written and oral communication skills
  • Must have reliable transportation to the workplace.
  • Ability to pass drug screening.
  • Must be able to work in the United States without corporate sponsorship now and in the future.

Preferred Experience, Education, and Qualifications
Construction Industry experience is a PLUS

Work Environment/Physical Demand
This position works in an office environment. This position requires long periods of sitting.

Position type and expected hours of work
This is a full-time office position. Typical hours will range from 40-45 hours per week and are subject to change. Due to the critical nature of the role, accepting phone calls even during nontypical workdays and hours is also necessary.

This position does not require much travel.
